Have you ever thought what happens to the data you provide to your employer or to projects?

Often they are entered into a database to which you have no access.

After a while the data is out of date and it can have unwanted results.

Let’s take some cases I encountered before starting at Ccrow :

  • Passport

An offshore technician arrived on a project to start work and was refused to do so because of the expired passport.

  • Visa

A vessel wants to have a crew change.  A normal procedure for vessels that work on construction.  Only one problem came to the surface.  The crew that needed to be relieved had expired visa documents (non-Schengen employees).  They did not receive permission to leave the vessel and had to stay on board.

  • Seafarer’s medical

An seafarer on a vessel needed to be evacuated due to illness.

A medical evacuation by helicopter was ordered, but due to an expired seafarers medical, the insurers refused payment for the evacuation.

  • Driver’s license

A truck driver and his employer failed to notice that his driving license expired.  On a roadside control a policeman noticed the invalid driver’s license and he received a hefty fine for driving without a valid license.

Just think what the financial effect would have been if it was noticed after an accident.

We don’t think the insurers would have paid.

  • Training certificates

A supervisor arrived after traveling 2 days on a new project to start work.  Upon arrival at the site, he was issued PPE and companies clothing.  He was also asked to provide GWO training certificates and a medical certificate.  This was not communicated before he traveled.  He stayed 1 day, returned the clothing and PPE and returned home.

  • Tool registration

Small tools and equipment often disappear with malicious people.

Contractors often work on sites where there is no security and where theft is often an issue.Registering their tools can be effective if police stumble on stolen goods.

The same counts for private individuals who register their electronic compliance's at home.

In case of theft, the serial numbers are known.

This registration will also inform you when a tool or compliance guarantee is about to expire.

  • Next of kin

A technician had a small accident at work, when the employer called the next of kin they had on file, they informed the persons former wife.

The technician and his current wife were unhappy as a result.

  • Incomplete certificates registration

A technician arrived on a new project (1000 km from home), he was notified that he didn't provide a valid GWO Sea Survival certificate.  The document was mandatory before approval to work on the project offshore.  As there was nobody at home he had to ask his son - who lives 200 km away from him - to find the document and send him a copy of the certificate.  It would have been nice if he could get the document from his file.

  • Vessel documents

A construction vessel on an offshore wind farm had to wait a week because the paperwork was not yet submitted to the project supervisors.  Therefor it did not have access to the project. The cost must have been high. Estimated cost per day € 140.000.

A group of crew transfer vessels were hired to start on a project.  The company hiring them were promised that all documents would be submitted within the next 24 hrs.  The vessels arrived after 48 hrs, but it took another week before the paperwork on the vessels and crew were up-to-date.  We can only guess on how expensive it was.

Vessel documents are often needed by ship agencies and projects alike. Often they are on the vessel, but not digitally available on short notice.

  • Untrained project personnel

Personnel on a project was not enough informed on a document (STCW A-II/2) and demanded a document for STCW A-VI/1-1 Personal Survival Techniques and a radio license.  We told them that a vessel Master could not get his license without having those certificates.  All the certificates requested are marked on that certificate.
